Primary Responsibilities :

Job Description:

  1. Guest Reception:

    • Welcome and greet guests promptly upon their arrival at the office.
    • Respond to visitor inquiries promptly and effectively.
  2. Booking and Arrangements:

    • Handle all bookings and arrangements for conference rooms, meeting rooms, and internal events for various departments.
    • Coordinate and oversee all travel logistics and arrangements efficiently and cost-effectively, including airlines, trains, transport, and hotels.
    • Manage end-to-end travel plans pan India.
    • Handle all incoming travel requests and the processes that follow.
    • Handle visa applications and formalities promptly.
  3. Facility and Office Management:

    • Manage facility operations and coordinate housekeeping duties.
    • Monitor office assistants' movements.
    • Ensure the reception area is clean, organized, and visually appealing.
    • Procure front office supplies and manage inventory, including pantry items and stamp papers.
  4. Communication and Coordination:

    • Answer, screen, and redirect incoming phone calls as required.
    • Maintain accurate employee and department directories.
    • Provide attendance records to HR for salary processing.
    • Aid in the onboarding process for new employees and extend a warm welcome.
  5. Mail and Deliveries:

    • Receive, organize, and distribute incoming mail and deliveries daily.
  6. Record Keeping:

    • Maintain accurate records of employee leave and calculate entitlements, including annual leave.

Key Competencies:

  • Proficiency in Advanced Excel.
  • Excellent oral and written communication skills in English and Egyptian Arabic.
  • Strong organizational skills with attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Good interpersonal skills to interact with visitors and team members.
  • Knowledge of travel logistics and visa formalities.
  • Ability to maintain a neat and orderly reception area.
  • Experience in coordinating facility operations and housekeeping duties.
